Exhibitor/Vendor Table - $75.00 non-refundable before -----------, 2016 after this date it will be $80.00 non-refundable.

** There is a Jugo Juice in the main lobby where you can buy a drink and something to eat. Plus there are 2 Tim Hortons locations nearby. One is at #400, 7170 – 80 Ave NE (4 mins away) other 3660 Westwinds Dr NE (9 mins away by Superstore) **


You MUST Provide:

- Black Tablecloth (large enough to cover the top of the table & reach the floor in front)

- Signage (with company name & logo)

- Business cards

**Once your registration is approved you must submit your 4 page signed contract, and full payment  within 5 days or your table will be reassigned to the next business vendor in line. In those 5 days if a Previous Vendor contacts me to see if the spot is available I have to honor them the spot. If the spot is not taken by a previous vendor and once it has been paid the spot is yours. All payments must be received by ----------, 2016. This is a non-profit event, and 100% of the proceeds are being used to fund the event. **


Exhibitor Contract (Rules and Regulations, Part 2 of 2)

Thank you for your interest in Calgary Business Women Spring Shopping Event 2016.  The following rules must be agreed to and check off on the vendor contract form. As this will also assist you in preparation for this event.  Please review the rules carefully.  Feel free to contact us with any questions.


1. The Calgary Business Women Fall Shopping Event will run on Saturday, ----------, 2016 from 10:00 am – 4:00 pm at the Genesis Centre.  The address is as follows: #10, 7555 Falconridge Blvd NE Calgary, AB T3J 0C9.

2. There will be no refunds once your table has been paid/confirmed unless the show is cancelled due to unforeseen circumstances.

3. You must have a Black tablecloth on your table and you need to supply your own cash floats, bags, power cords (if approved), etc. If necessary.

4. Please bring your own signage. We encourage you to have your own prize draw/raffle at your table. Each vendor is responsible for their own lunch.

5. Exhibitors will be assigned a specific table upon check-in.  Please do not rearrange your table or switch with other exhibitors as they have been carefully placed to showcase each exhibitor.  A limited number of electrical outlets are available they will be assigned on a first-come, first-served basis.  If you require a power outlet, and have been approved for one please bring an extension cord. A table cloth will NOT be provided.

6. You may begin set-up at 09:00 am. You must be present at the Genesis Centre by 09:15 am or your table WILL be re-allocated. We would ask that all set-ups be completed no later than 09:55 am as we will open the doors at open at 10:00 am.

7. All exhibitors must dress in Business Casual Attire. There are no jeans and t-shirts allowed. Those that are promoting exercise can wear exercise attire.

8. Table size is 8 feet, and your display is limited to your table space.  You may bring additional backboards/easels, etc. to help display your wares, but they must be placed in such a way that they will not obstruct other merchants and/or customers.  Any additional set-up must be approved prior to the event.

9. Information on your table must be from the business name submitted on the registration. No business cards, brochures or information pertaining to other businesses or services are permitted on your table.

10. Please refrain from dismantling your table before 4:00pm.  If you choose to take down your table before this time you will not be invited back to any other fairs this organization presents. We ask that all displays & vendors vacate the hall by 4:45 pm.

11. No animals, alcohol or smoking (designated area) are allowed within the complex, or on its premises.

12. Kimberly Gardippie as the organizer of the Calgary Business Women Trade Show 2016, its representatives, and volunteers are not responsible for any lost, theft or damage of any exhibitor’s equipment, materials or supplies regardless of how such loss shall occur.  Please make sure to secure and watch all of your display and personal items at all times.

13. Kimberly Gardippie, its representatives, and volunteers are not responsible for any injuries, loss or damages that may occur to anyone prior, during, and after the event.

14. Exhibitors are required to have general liability insurance for any injuries, loss, theft or damage that may occur as a result of their products, equipments or services.  Please use caution at all times.

15. Shall indemnify and save harmless Kimberly Gardippie, it’s officers, representatives, and volunteers from and against any action or cause of action alleging bodily injury, personal injury, sickness, death or disease of any person(s) and loss or damage to property of the exhibitor and loss of use thereof and any and all costs or expenses (including legal and other professional fees) occurring in or about the premises or resulting directly, indirectly or in any way connected with the use of the premises or in any way connected with the activities of the exhibitor.

16. All excess product and garbage must be removed at the end of the day. Exhibitors are responsible for keeping their area tidy, and cleaning up any debris.

17. Calgary Business Women will be updating all participants regularly via email on any changes or plans for the show.  It is each participant’s responsibility to keep all information such as email address, telephone number, current with us.

Important Exhibitor Information:

• This agreement consisting of the application and rules and regulations will serve as your contract.

• You will receive a email saying Thank you for agreeing to our terms and conditions.

FULL payment must accompany each vendor contract. (Unless previous arrangements have been made with the organizer)
